Document Automation
Autonomous PDF digital signing for business operations
The solution
A Windows-based autonomous signing utility that watches your Inbox folder, applies your company Digital Signature Certificate, places an Adobe-compatible visible stamp at the correct position, and delivers signed PDFs to Outbox — without operator clicks per document.
Business challenge
Opening each PDF, selecting a certificate, and signing one-by-one consumes staff time every day.
Stamp position varies by operator — invoices and packing lists look unprofessional or miss expected zones.
Wrong author name, missed copies, or packing lists signed without matching invoice authority.
Hard to prove what was signed, when it failed, and where originals were archived.
ERP/print exports still need a person in the loop — automation stops at PDF creation.
As invoice and export volume rises, signing becomes a daily operational constraint.
Operating model
How it works
Set Inbox, Outbox, Archive, Error folders. Select DSC (Windows store or PFX). Choose Author / Signatory.
Operator starts DigiSigner on the signing PC. The service watches folders continuously.
ERP, print pipeline, or users place PDF invoices / packing lists into Inbox.
DigiSigner applies DSC + visible stamp at the calibrated position for that document type.
Signed files appear in Outbox. Sources go to Archive. Failures go to Error with log detail.

Capabilities
Continuously polls Inbox and signs PDFs as soon as they are ready — no manual queue management.
Use Windows Certificate Store (eToken / DSC) or PFX/P12 file certificates.
PKCS#7 style stamp: Digitally signed by, Date, Reason — familiar to auditors and customers.
Stamp position tuned per document type (invoice, export invoice, packing list) and page policy.
Supports Original / Duplicate / Triplicate / further copies from standard file naming.
Shared company certificate with named Author; controlled signatory list for governance.
Matching document number reuses the invoice Author; premature packing lists can be held.
Operators see OK / FAILED / HELD outcomes in real time for shop-floor visibility.
Dedicated build locks licensed company name and stamp geometry for that customer site.
Document intelligence
Stamp positioned for invoice layout; all required pages signed; multi-copy sets supported.
Portrait/export layouts with calibrated stamp zone for customs and buyer packages.
Author aligned to matching invoice document number; hold-until-ready when needed.
Business benefits
Seconds per PDF instead of repetitive manual Adobe/cert signing cycles.
Handle peak invoice and export volumes without adding signing headcount.
Stamp lands where finance and customs expect it — every copy, every time.
Same Author across invoice copies and related packing lists.
Fewer misplaced stamps, missed pages, or unsigned package sets.
Windows utility + folders + certificate + Start — no complex middleware project.
Works with the PDFs you already print/export; no forced ERP replacement.
Archive trail, error handling, licensing, and optional signatory control.
